Thank you for booking your authors at The Heartland Fall Forum. All events are held at the site of the show: the Renaissance Cleveland in the heart of the city.

Here you will find detailed instructions for each of our author events. Please do the following...

  1. Carefully read the overall instructions below.
  2. Follow the individual event tabs on the right for detailed information that applies to your authors' specific events​​. Please share all pertinent details with your author(s) to get them ready for the show
  3. Ensure your authors include indie bookstore buying options on their website and their social media accounts. Regional trade shows are a tremendous opportunity to educate authors on how to support the indie market. Please make sure they know how to be a friend to indies before then come to our show. (MIBA's website has information about how authors can support indies.)

Other items
  • Fees. Author events are a labor-intensive feature of the show. The drayage fees listed on the individual event tabs include the following: receiving your books at our advance warehouse, organizing them by event, delivering them to the show, unpacking and sorting books, and relocating books to their proper places to be ready for authors. You might be accustomed to receiving drayage invoices from a separate convention services company. At Heartland, we do the drayage work ourselves, which allows us to impeccably organize our book freight as well as set our fees lower than standard convention services companies. ​​
  • Comp Books. The number of books requested per event differs from one event to the next, so consult the event tabs to the right to anticipate your drayage bill. 
  • Author Badges. Badges for authors will be automatically generated and available at the registration desk. Author badges do not count against your exhibitor badge allotment (except the case on in-booth signings).
  • Book Room. The "book room" is our book staging area for authors to pre-sign books and get their questions answered. This year, it's in the room called "Exhibit Hall," which you can see in the map above. 
  • Author Guests. Authors are allowed to bring guests, but they must registered ahead of time. Please email Kate Scott to process any guest registrations.
  • Day-Of Contact. If you haven't already, please email Carrie the author and/or publicist's direct phone number so we can call you in case an author doesn't arrive or some other emergency. You can reach Carrie at 612-208-6279.
  • On-Site Help. For general on-site help, visit our registration desk. For book-specific questions, our book room staff will be glad to help at any time.
